About the Role
Our client, a leading international law firm, is seeking an experienced Team Assistant to support a team of partners and associates across matter management, billing, business development, and document production. This is a strong opportunity for an experienced legal secretary or team assistant looking to step into a broader, more strategic support role within a high-performing international practice.
Matter Management
This role handles client and matter clearance and opening, including AML processes, and drafts and maintains engagement letters and matter files. It includes maintaining and updating matter document folders in the firm's document management system, managing matter administration from opening to closing (including project site setup and post-closing archiving and bibling), and supporting client and matter-team meetings.
Billing & Financial Administration
Responsibilities include monitoring and recording project scope changes, estimates, caps and billing agreements, and preparing matter balance reports and weekly fee updates for clients. The role also coordinates Working Capital (WIP/debt) reviews between partners and the finance team, including scheduling and circulating review materials, and supports billing and collections — raising bills, invoices, tax computations and write-offs, and liaising with the billing team to dispatch invoices.
Business Development Support
The role updates and maintains BD materials such as CVs, pitches, presentations and client briefings, supports internal and client events including virtual events, and assists with client update communications.
Document Production & Matter Support
This includes transcribing, editing, formatting and proofreading legal and other documents to house style, supporting e-filing and signing-page coordination, and liaising with the document production team as needed.
Legal Technology & Process Improvement
The role supports the use of legal technology tools and the firm's matter delivery framework, acts as a super-user for relevant legal tech tools, and helps identify follow-on opportunities at the end of a matter, such as deal reviews.
Travel & Logistics
This includes arranging complex travel itineraries — flights, hotels, visas and related services — and coordinating meeting venues, restaurants and workspace bookings across offices.
What We're Looking For
- Candidates should have a minimum of 5 years' relevant experience in a legal or professional services environment, with excellent spoken and written English and strong proficiency in MS Word, Excel and PowerPoint.
- Someone who is able to work independently, take initiative, and maintain a positive, professional attitude, with strong organisational skills and a real sense of ownership.
